Personal Assistant (PA) to the Swiss Defence Attaché

The Embassy of Switzerland in Kyiv has a vacancy for the position of Personal Assistant to the Swiss Defence Attaché as per 01 September 2018.

Main duties and responsibilities:

Providing secretarial support with various administrative tasks;

Dealing with all matters relating to the Defence Attaché's social engagements;

Organising official invitations by the Defence Attaché and monitoring invitations received;

Organising business trips for the Defence Attaché;

Management of the monthly financial claims of the Defence Attaché;

Supporting the Defence Attaché by carrying out research for special reports (Internet or other sources);

Assisting with and maintaining contacts with Swiss officers and Swiss federal employees in Ukraine;

Organising VIP visits to Ukraine including security clearances;

Welcoming guests, coordinating programmes and organising travel and accommodation;

Translation tasks.


Previous experience in a PA position;

Familiarity with modern office systems and advanced computer skills (MS Office);

Very good command of English and German (or French) language, spoken and written. Mother tongue should be Ukrainian or Russian, with very good knowledge of the other one;

Flair for organisational tasks.

Internship at the Swiss Embassy in Kyiv

Full time for 6 months / Kyiv

As an academic intern you support the Embassy in all its diplomatic activities. In addition, you have the opportunity to discover various areas of Swiss foreign policy in relation to Ukraine.

Your competencies

  • A university or college diploma (bachelor, licentiate, master or doctorate) should not be over one year older at the beginning of the internship.
  • Strong interest in Swiss foreign policy and international relations.
  • Knowledge of the areas of politics, business, human rights and/or environmental issues is an advantage.
  • An important requirement is the knowledge of two official languages ​​as well as a good knowledge of Russian or Ukrainian language. Knowledge of English is compulsory.
  • The internship is open only to Swiss citizens or foreigners with residence in Switzerland.

Your tasks

  • Assistance in the draw up of the yearly economic report.
  • Organization, preparation and follow-up of various meetings, interviews and business trips
  • Providing information on bilateral relations on specific issues and / or countries.
  • Preparation and implementation of cultural projects or cooperation in cultural projects.
  • Participation in meetings and creation of related documents and reports.
  • Writing an analysis on current political and economic issue.
