Embassy of Switzerland in Japan, Consular Officer

The Embassy of Switzerland in Japan is looking for a Consular Officer starting February 1st 2018 (full time position). 

This position calls for an individual with excellent communication and interpersonal skills to operate in a service environment with international clientele. The candidate must have experience in administration with all relevant computer skills. Multi-tasking is required to handle the volume of cases, and in stressful situations this person is capable of performing the tasks of the job in a courteous and professional manner. Training will be provided. Preference will be given to candidates who have Swiss citizenship. 

Duties and Responsibilities:

Reception:

  • Operate the phone system both externally with inquiries and internally by forwarding calls
  • Receive and take care of visitors at the counter
  • Responsible for incoming and outgoing mail 

Visa section:

  • Customer Service at visa counter & telephone
  • Understand and implement the current Schengen visa regulations
  • Conduct visa interviews, Assess visa applications
  • Registration of visa applications entry and fees
  • Authorizing visa applications 

Responsibilities consular section:

  • Support service for the Swiss community in Japan which includes
  • Handling of all cases in regard of civil status matters, passports, certificates
  • Official correspondence with Swiss authorities (German or French)
  • Operate specific software for data management (registration of Swiss citizens, passport) 

Required qualifications and skills:

  • Cross cultural and interpersonal skills (multinational clientele)
  • Ability to place emphasis on courtesy in customer relations
  • Possess high level of proficiency in English and German or French
  • Very good knowledge of Japanese to directly deal with inquiries in Japanese
  • Swiss degree in commerce or equivalent foreign degree
  • Strong decision making skills and able to work independently and under pressure
  • Ability to handle deadlines and high workloads
  • Ability to multitask and work in a team setting
  • Previous work experience in a related field or administration with strong customer service
  • Good knowledge of standard computer applications, such as Microsoft Office, including Word and Excel
  • Experience in computer database management desirable.
